Salon no-show cost calculator
Three a week sounds like nothing. It is the same as closing for a fortnight, except you still paid the rent.
What does a no-show actually cost a salon?
Less than the bill and more than nothing. If the slot gets refilled by a walk-in, the real loss is small; if it stays empty, you lose the contribution that appointment would have made while still paying the staff and the rent for that hour. The annual figure is what makes it worth acting on.
Your empty chairs
The refill rate is the input that moves this most, and the one nobody knows precisely. If you are guessing, guess twice — once optimistically and once not — and treat the pair as the range.
What it costs
- Missed bookings a year
- 200
- Of those, never refilled
- 140
- Contribution per bill
- ₹702.00
- Lost a week
- ₹1,965.60
- Lost over a year
- ₹98,280.00
- Recovered a year
- ₹39,312.00
Contribution, not turnover — the customer who did not arrive also consumed no product and earned no commission.
If 40% of them stopped happening
A reminder reaches the customer who forgot, which for most salons is the larger share. It does nothing about the one who changed her mind, so treat this as what the improvement would be worth rather than what reminders will achieve.
Why the loss is the contribution, not the bill
Counting a no-show as a lost bill overstates it. The customer who did not arrive also did not consume the product, and in a commission-based salon nobody earned commission on the appointment either — so the money genuinely lost is what that bill would have contributed after its variable costs, not its face value.
It also has to be discounted by how often the slot gets used anyway. A busy Saturday with walk-ins waiting refills most gaps and loses almost nothing; a quiet Tuesday morning loses the lot. The refill rate is the input people leave out, and it is usually the one that matters most.
The staff hour is paid either way, which is why the annual total is the figure worth looking at rather than the weekly one. A salon losing one refillable slot a day rarely notices; the same salon reads the yearly number and books the reminder work that afternoon.
Common questions
- Do WhatsApp reminders actually reduce no-shows?
- They reduce the forgetful ones, which for most salons is the larger share. They do nothing about a customer who changed their mind, so the honest expectation is a meaningful dent rather than elimination — and a reminder is only worth anything if it reliably goes out exactly once per booking.
- Should I charge a cancellation fee?
- It depends far more on your market than on the arithmetic. A fee deters casual bookings and also deters some genuine ones, and enforcing it costs goodwill at the counter. Most salons get further by making the reminder reliable and by tracking which customers repeat the behaviour.
- How do I know my real no-show rate?
- By recording no-shows as no-shows rather than deleting the appointment, which is what most salons do and why almost nobody knows their real rate. Salvoro keeps a distinct no-show status precisely so the pattern is countable per customer and per month.
- What is a normal no-show rate?
- It varies too much by city, price point and booking channel for a published benchmark to be worth much. Your own trend over three months is far more useful than somebody else's average — what matters is whether it is falling.
Worth knowing
- The refill rate is an estimate you supply. Nothing here can know how often your empty slots actually get used, and the result moves sharply with that one number.
- It models lost contribution only. It does not price the staff hour, the goodwill cost of a fee, or the value of a customer who never returns after being charged one.
- The reduction figure is a scenario, not a prediction. It shows what a given improvement would be worth; it does not claim reminders will achieve it.
- Salvoro reports WhatsApp messages as sent rather than delivered or read. The gateway cannot prove delivery, so no calculator here should imply it.
- Nothing you type is sent anywhere. The whole calculation runs in your browser.
Send the reminder without remembering to
Salvoro sends one reminder per booking from your own WhatsApp number, and records a no-show as a no-show so the pattern is countable.
